Purchasing/Accountant 1

This position reports to the Administration Officer III (CFO) and is responsible for ordering products and services for the Agency.
Some responsibilities include researching vendors, purchasing supplies, maintaining inventory levels, negotiating contracts and leases, and preparing necessary paperwork to finish these transactions.
This position also assists in Accounting functions such as compiling data, budget preparation, journal entries, bank reconciliations, reviewing statements and serving as a backup for Payroll processing.
Qualifications:
A combination of experience and training in A/R, A/P, Purchasing, or other fiscal work that includes being proficient in Microsoft Word & Excel databases.
Experience in activities such as records management, contract negotiations, vendor research and preparing reports a plus.
Time management and organizational skills are required.
Act 33 and 34 Clearances required.
Must maintain current driver's license and vehicle insurance.
Must be able to lift up to 40 lbs
Responsibilities:
Purchasing supplies for the Agency, knowing the purchase request process, acquiring bids, accomplished in a timely, consistent and organized manner.
Keeping inventory of the supplies, stocking all areas, sending out monthly request for supply needs to all managers.
Getting bids for purchase of items costing over $1000 and searching for the best prices for all items.
Work involves preparing excel reports for the CFO enabling her timely analysis of various financial data.
Selling or donating old items that are no longer needed.
Monitor postage use and reset postage machine.
Efficient communication and coordination of purchases with all Managers.
Prepare and reconcile monthly statements for A/P to process payments.
Compiling and analyzing data for budget preparations and audits.
Assisting in monthly bank reconciliations.
Serve as a backup to the Payroll processing department as needed to cover vacations or illnesses.
Regular duties and special assignments are received through general instructions from the CFO or through the employee's initiative and are performed with considerable independence.
Completed work and performance is reviewed by CFO for soundness of reasoning, effectiveness, and conformance with established policies and objectives.
Will have a good working relationship with peers and managers.
Maintains and upholds Community Counseling Center's policies, respects confidentiality, and exhibits a professional demeanor at all times while at work.
Any violation of policies and procedures/job duties will be subject to disciplinary action.
Can perform the essential functions of this position with or without reasonable accommodations, if necessary.
Participates in CCC CQI plan to ensure quality of service to CCC consumers.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
